The American Philatelic Society is undertaking a comprehensive digital transformation of its systems and operations.  Part of that effort includes redesigning our core revenue-generating systems and launching a new e-commerce marketplace.

We are looking for an ambitious, analytical, and collaborative professional who is wants far more than simply maintaining existing systems. This role offers the opportunity to help design new business solutions from the ground up, work directly with executive leadership, and develop into a future Sales Director.

This position has been intentionally created as a succession planning opportunity. The successful candidate will work directly with executive leadership while helping design and launch APS's next generation of revenue-generating business systems.

As these initiatives are successfully implemented, the successful candidate will be prepared to assume increasing leadership responsibilities, with the expectation of promotion to Sales Director following the planned retirement of the current Sales Director in late 2027.

Description / Purpose

The Business Systems & E-Commerce Manager is responsible for leading the organization’s non-dues revenue growth strategy.  The position sits at the intersection of business strategy, stakeholder engagement, and system design.

 

Scope of Responsibility

Working closely with the Director of Technology & Innovation, this role will ensure that APS’s revenue-generating platforms, including e-commerce and circuit sales, are designed to meet the needs of collectors, dealers, and the broader philatelic marketplace.  During the development phase of the new systems, this role will be directly responsible for leading stakeholder engagement processes to ensure the new systems will exceed customer expectations and be highly competitive in the larger marketplace.  Following system launch, the Business Systems & E-Commerce Manager will be responsible for managing sales operations, scaling market share and revenue, and optimizing these platforms to maximize member satisfaction and non-dues revenue growth.

This role will touch diverse technologies and processes, including:

  • CRM / Account Management platform
  • E-commerce systems
  • Marketplace technologies
  • Business intelligence, analytics & dashboards
  • Requirements gathering
  • Product development
  • Vendor management

 

Key Responsibilities

Product & Business Solution Development
  • Collaborate with the Director of Technology & Innovation to define requirements for:
    • APS e-commerce platform
    • Circuit Sales (approval sales) system modernization
    • Supporting expertizing and marketplace tools
  • Lead stakeholder discovery and requirements gathering, including:
    • Dealers and auction houses
    • Individual collectors - buyers and sellers of philatelic material
  • Translate stakeholder needs into clear product requirements and business workflows
  • Ensure systems are designed to deliver best-in-market user experience and marketplace trust
Cross-Functional Project Leadership
  • Serve as the business lead in cross-functional system development initiatives
  • Partner with:
    • Technology & Innovation (technical development oversight)
    • Operations / Membership
    • Marketing
    • Finance
  • Support vendor selection, product testing, and implementation planning
  • Ensure projects are delivered on time, within scope, and aligned with business objectives
E-Commerce & Marketplace Strategy
  • Help design and launch APS’s integrated e-commerce platform, including:
    • Direct sales
    • Consignment sales
    • Customer-to-customer marketplace capabilities
  • Develop strategies to:
    • Increase transaction volume and participation
    • Improve search, discovery, and user experience
    • Leverage APS’s trust advantage and Code of Ethics
    • Optimize fulfillment processes
Circuit Sales (Approval Sales) Leadership
  • Oversee the modernization and growth of APS’s Circuit Sales program
  • Improve operational efficiency, participation, and revenue performance
  • Identify opportunities to:
    • Reduce losses and inefficiencies
    • Increase buyer and seller engagement
    • Expand and scale sales channels
Data-Driven Performance Management
  • Establish and monitor KPIs related to:
    • Revenue growth (e-commerce & circuit sales)
    • User engagement and conversion
    • Customer satisfaction
  • Use data analysis to:
    • Identify trends and opportunities
    • Optimize pricing, categories, and user experience
    • Inform strategic decision-making
Post-Launch Operations & Growth
  • Own ongoing management and continuous improvement of:
    • E-commerce platform
    • Circuit Sales program
  • Drive year-over-year growth in non-dues revenue, aligned with APS strategic goals
  • Lead initiatives to scale adoption and expand marketplace participation

     

Required Experience / Skills / Qualifications

  • Bachelor's degree in Business Administration, Marketing, Information Systems, Project Management, Data Analytics, or a related discipline, or an equivalent combination of education and relevant professional experience.
  • 1-3 years of progressively responsible professional experience supporting business operations, sales, e-commerce, digital products, marketplace platforms, customer experience, or other revenue-generating business functions.
  • Demonstrable experience working with a robust e-commerce platform, sales management system, CRM, marketplace solution, or comparable business application.
  • Proven experience leading or coordinating cross-functional projects involving multiple departments and stakeholder groups.
  • Demonstrated success gathering business requirements, documenting workflows, and translating diverse stakeholder input into clear, actionable business requirements and implementation plans.
  • Strong facilitation and relationship-building skills, with the ability to work effectively with employees, vendors, customers, volunteers, and external stakeholders possessing differing priorities and perspectives.
  • Excellent analytical and problem-solving skills, including experience using data and performance metrics to identify trends, evaluate business performance, recommend improvements, and monitor results.
  • Demonstrated ability to synthesize complex information and competing viewpoints into practical recommendations aligned with organizational priorities.
  • Experience establishing, monitoring, and reporting on key performance indicators (KPIs) or other business performance measures.
  • Experience using business intelligence, reporting, or analytics tools to support data-driven decision making.
  • Strong project management skills with demonstrated ability to manage multiple priorities, coordinate competing deadlines, and successfully deliver initiatives on schedule.
  • Excellent written, verbal, and presentation communication skills.
  • High level of initiative, sound judgment, professionalism, and personal accountability.


Preferred Experience / Skills / Qualifications

Candidates possessing one or more of the following qualifications will be viewed favorably:

  • Knowledge or experience in philately or other collection-based hobby
  • Experience participating in the design, implementation, or launch of an e-commerce platform, online marketplace, sales management system, CRM, or other enterprise business solution.
  • Experience serving as a business lead, product owner, or subject matter expert during software or business system development projects.
  • Experience managing or growing revenue-generating products, services, or business programs.
  • Experience in membership organizations, nonprofit associations, collectibles, hobby industries, retail, auction, or marketplace businesses.
  • Familiarity with change management principles and organizational process improvement.
