ABOUT THE AMERICAN PHILATELIC SOCIETY
The American Philatelic Society (APS), the world’s largest not-for-profit membership organization for stamp and postal history collectors, is seeking a detail-oriented and customer-focused Circuit Sales Coordinator to support the daily operations of the APS Circuit Sales program. The APS mission is “To grow, nurture and empower a thriving community of stamp and postal history collectors, across all experience levels.”
APS serves collectors, educators, postal historians, and the general public by providing a wide variety of programs and services. Through programs such as Circuit Sales, APS helps connect collectors with material, resources, and opportunities to participate more fully in the hobby.
POSITION SUMMARY
The Circuit Sales Coordinator supports the daily administration and operation of the APS Circuit Sales program. This role helps ensure the efficient intake, review, circulation, tracking, and retirement of stamp books while providing excellent customer service to APS members and Circuit Sales participants.
Serving as a key member of the Sales team, this position helps process submitted stamp books, assemble and route circuits, maintain accurate inventory and tracking records, coordinate shipping activity, and respond to member questions related to Circuit Sales participation and procedures.
Working closely with the Sales Department, the Circuit Sales Coordinator supports all operational aspects of the program, including book intake, authentication review, circuit assembly, routing, shipping coordination, circulation monitoring, retirement processing, and member support.
Key Responsibilities
- Receive, review, and enter stamp sales materials into the system.
- Organize materials for distribution to members and clubs.
- Prepare packages, mailing labels, and related shipping materials.
- Track outgoing and returned shipments and maintain accurate records.
- Monitor inventory and remove older materials from circulation when appropriate.
- Respond to member questions and provide friendly customer service.
- Assist with general Sales Department activities as needed.

- High school diploma or equivalent required.
- Strong organizational skills and attention to detail.
- Excellent customer service and communication skills.

- Comfortable using computer-based business applications and databases.
Preferred Experience / Skills / Qualifications
- Knowledge of philately, stamp collecting, postal history, or other collectibles.
- Experience with inventory management, fulfillment, shipping, or logistics operations.
- Experience working in customer service, retail, membership organizations, or administrative support roles.
- Interest in collecting, history, postal history, or hobby communities.
