ABOUT THE AMERICAN PHILATELIC SOCIETY
The American Philatelic Society (APS), the world's largest not-for-profit membership organization for stamp and postal history collectors, is seeking a highly organized and collaborative Technology & Innovation Project Coordinator to support strategic technology initiatives across the organization.
The APS mission is “To grow, nurture and empower a thriving community of stamp and postal history collectors, across all experience levels.”
APS serves collectors, educators, postal historians, and the general public by providing a wide variety of programs and services. As APS continues to modernize its technology infrastructure and digital services, this position plays an important role in helping coordinate projects that improve how the organization serves members, staff, and stakeholders.
POSITION SUMMARY
The Technology & Innovation Project Coordinator provides operational support for the planning, coordination, and implementation of strategic technology initiatives across APS.
Serving as a key member of the Technology & Innovation team, this position works closely with the Director of Technology & Innovation to help move projects from concept to completion. The role supports project planning, communication, documentation, stakeholder engagement, research, and cross-functional collaboration.
Projects supported by this position may include website and e-commerce improvements, software modernization efforts, Digital Library initiatives, artificial intelligence exploration, technology infrastructure projects, and other organizational digital transformation efforts.
Working across departments and with external partners, the Technology & Innovation Project Coordinator helps maintain project momentum, improve communication, track progress, and ensure initiatives align with APS strategic priorities.
Key Responsibilities
- Manage multiple projects from planning through implementation while balancing priorities and meeting deadlines.
- Maintain project plans, timelines, documentation, and status reports in collaboration with the Director of Technology & Innovation.
- Schedule meetings, prepare agendas, document decisions and action items, and support follow-up activities.
- Develop and maintain clear communications and shared project resources for stakeholders.
- Build positive working relationships with staff, members, vendors, and project partners.
- Serve as a communication bridge between technical and non-technical audiences.
- Gather information, ask thoughtful questions, and help define business needs and project requirements.
- Organize information, identify next steps, and help bring structure to complex or evolving initiatives.
- Research technology solutions, emerging trends, and industry best practices to support decision making and continuous improvement.
- Adapt to changing priorities and contribute to a diverse portfolio of technology and innovation projects.

- Knowledge of website management, e-commerce platforms, digital libraries, artificial intelligence, or related technology disciplines.
- Experience in nonprofit organizations, membership associations, or mission-driven organizations.
